Job Summary: Are you an individual who thrives in an organization that is growing and evolving? Is the word “change” not scary to you? If so, we are looking for individual such as yourself to join our team. Responsible for maintaining incoming and outgoing document submissions. You will be scanning and attaching documents to the system as well as accessing multiple client systems to locate and print documents requested from team members.

Duties and Responsibilities (not limited to):

  • Scanning account level documentation produced from client system, incoming correspondence, and outbound work product
  • Processing inbound and outbound mail
  • Entering new accounts into operating system when hardcopy new business is received
  • Retrieving documentation from client systems as requested by operations staff
  • Receptionist back up coverage – phone and front desk
  • Ensure professional and HIPAA compliant documentation practices throughout the office
  • Participate in client implementation meetings as needed
  • Work with IT on setup and ongoing document production from client systems
  • Maintain and distribute phone list weekly
  • Oversee work in progress lists to ensure documents submitted
  • Update operating system to ensure contacts closed upon receipt of information requested and received
  • Document processes
  • Identify areas of opportunity for streamlining processes and cost control measures
  • Generate and distribute daily and weekly reports to management as assigned
  • Assist with projects as assigned

  • Qualifications:
  • Must be able to communicate effectively and professionally with strong attention to details and problem solving both verbally and written
  • Strong telephone communication skills are required
  • Ability to prioritize work and meet deadlines is required
  • Knowledge of general office procedures is required
  • Ability to operate common computer systems, utilize hospital collection system and business software is required
  • Intermediate Microsoft Office (Word, Excel) skills
  • Strong interpersonal skills
  • Ability to make sound decisions
  • Ability to be flexible and promote teamwork 

Education/Experience:

Include minimum education, technical training, and/or experience preferred to perform the job

  • High School Graduate minimum education requirement, prefer some college coursework or degree
  • Strong analytical skills and strong proficiency in Microsoft Office Tools
  • Ability to enter data accurately and timely
  • Ability to multi task
  • Ability to utilize other equipment such as printers and scanners
